DocuSign - What happens to my account or envelopes when I leave VCU?

Summary

Once your eID record has been updated to indicate that you have left VCU, your VCU DocuSign account will be closed. Your department may request a custody transfer of all envelopes you had ever sent to another VCU DocuSign account (for example, to the department's generic account for centrally managing the department's business). If you had elevated access, all of your templates/PowerForms are purged from the system.

Throughout the year, VCU DocuSign Administration closes the VCU DocuSign accounts of those individuals who have left VCU. Every envelope sent on the VCU DocuSign domain is permanently stored, and--at any time, even while you are still with VCU--your department may request a custody transfer of all envelopes you had ever sent. If you return to VCU after your VCU DocuSign account has been closed, you will receive a new VCU DocuSign account and will not have access to any previously sent envelopes. NOTE: If you had granted Shared Access to your account prior to leaving VCU, the delegee will no longer have access to your account once it has been closed. In such case, your department will have to request a custody transfer of your envelopes.

If a generic eID owner leaves VCU, any associated generic account is closed. Generic eID owners are advised to transfer ownership of the generic eID prior to leaving VCU.

Prior to leaving VCU, individuals with template creation permissions are advised to arrange transfer of any templates/PowerForms that are actively used for the department's business processes to another account. Otherwise, once your account is closed, the templates/PowerForms you created will be purged from the system. DocuSign permanently purges deleted templates within 24 hours of entering the Deleted bin, and there is no restoration possible once the templates have been purged from the Deleted bin.

If you return to VCU after your account is closed, you will receive a new, standard account when you first log into the VCU DocuSign system. If you require template permissions, you will have to submit a request for elevated access.
