It is crucial for every individual to understand that DocuSign is an electronic signature solution for legally binding agreements and contracts. The primary VCU DocuSign account is enterprise account ID #11599208. Every individual account on #11599208 is merely a portal with permission to send legally binding agreements and contracts for VCU business. All envelopes are permanently stored in DocuSign for account ID #11599208: individual accounts do not own or contain envelopes or their contents. The moment an individual clicks Send on an envelope, that record is permanently stored in DocuSign and can be transferred to another individual account for #11599208. Everything sent on behalf of any VCU DocuSign account is subject to both manual and automated monitoring. Under no circumstances is a VCU DocuSign account to be used for any form of non-VCU business. An account with Sender permissions is able to log directly into DocuSign, upload a document, and send it. When you log directly into your VCU DocuSign account and send a standalone envelope or use a template to send an envelope, you are the Sender of that envelope and have temporary custody of that envelope for the purposes of managing the business associated with it. The moment you click Send, that envelope is permanently stored in DocuSign. If you subsequently delete that envelope, you have merely deleted your link to the envelope in your portal: the envelope itself will remain in DocuSign permanently and can be transferred to another individual, accessed by individuals in the recipient list, or reviewed by VCU DocuSign administration. Custody transfer is based on the sending account, so only envelopes you send directly from your VCU DocuSign account are affected by a custody transfer. If you submitted a PowerForm, you are not the Sender: anything you submit by PowerForm will not be from you and will not go through your VCU DocuSign account. PowerForms have a specific sender defined by the template creator or individual who created the PowerForm URL associated with that template.
