How to Link DMS Plan to VCU IRB system (VIRB)

Solution

The DMS can connect your DMS plan to the protocol/proposal in the VCU IRB system (VIRB). The instructions below will show you how to connect the two plans together. There are separate instructions for new DMS plans versus existing DMS plans.


 

NEW DMS Plan:

If you are creating a new DMS plan, please follow the instructions below. If you need to modify an existing plan to link to the VCU IRB system (VIRB), please go to instructions on how to modify an existing plan. 

 

  1.  From the DMS homepage, click ‘Projects’, and then ‘Create New Project’
  2. Under Project Categories, you will need to select one or multiple of the following categories:
    1. Human Subject Research
    2. Animal Research
    3. Other Research
  3. After selecting one or multiple, of the above categories, a new input field will appear on the form called “Protocol/Proposal Number (e.g., HM/FP number)”
  4. Enter your Protocol/Proposal Number in the field titled “Protocol/Proposal Number (e.g., HM/FP number)”
  5. Complete the rest of the plan. If this is your first time completing a plan, please visit our.

 

Existing DMS Plan:

If you’ve already created or submitted a DMS plan, you will need to modify your original plan to include the Protocol/Proposal Number (e.g., HM/FP number). Please note - modifying an approved plan may require it to be reapproved.

  1. From the DMS homepage, click ‘Projects’, and then ‘My Projects’
  2. Locate the plan that is not linked to the IRB plan.
  3. Depending on the Status of the project, you will need to do the following:
    • If the Status is “Project Created”
      • Click “Edit Details”
      • Go to Step 4.
    • If the Status is “Perform Selection”
      • Click “Edit Details”
      • Go to Step 4.
    • If the Status is “Selections Made”
      • Click “Edit Details”
      • Go to Step 4.
    • If the Status is “Pending Submission”
      • Click “Re-Open Project”
      • Click "Yes" on the Confirmation Pop-up Window.
      • Click “Edit Details”
      • Go to Step 4.
    • If the Status is “Awaiting Approval”
      • Click “Re-Open Project”
      • Click "Yes" on the Confirmation Pop-up Window.
      • Click “Edit Details”
      • Go to Step 4.
    • If the Status "Approved - Report Available"
      • Click “Re-Open Project”
      • Click 'Yes" on the Confirmation Pop-up Window.
      • Click “Edit Details”
      • Go to Step 4.
  4. Under Project Categories, you will need to select one or multiple of the following categories:
    • Human Subject Research
    • Animal Research
    • Other Research
  5. After selecting one or multiple of the above categories, a new input field will appear on the form called “Protocol/Proposal Number (e.g., HM/FP number)”
  6. Enter your Protocol/Proposal Number in the field titled “Protocol/Proposal Number (e.g. HM/FP number)”
  7. Complete the rest of the plan and re-submit for approval.
