Licensing

VCU has an enterprise agreement (BAA) with Smartsheet that meets our terms and conditions. Smartsheet is HIPAA-compliant and approved for some CATI data. Visit the DMS website or email infosec@vcu.edu for complete details on where to store VCU data. 

Review our licensing decision tree to determine if you need to purchase a license or if you can collaborate for free. ​Our current contract license prices are $507 for 2026 and $542 for 2027, and they will automatically renew in January unless canceled. 

To request a license, fill out the VCU Smartsheet License Request Form. Your financial admin or IT department must approve the request before issuing a license. Once approved, you will receive an invitation with the subject Welcome to Smartsheet. To sign in, go to https://www.smartsheet.com/, use your VCU eID and password, or access Smartsheet from your Google account via the App Launcher in the upper right; it should appear in your Apps selection. - If it isn't on the first page, select "More" to find it. Apps can be rearranged for easier access.
