Summary
Symptoms
User attempts to authenticate to DocuSign using a vcuhealth.org email address and receives the error: "User is not assigned to this application."
Environment
DocuSign eSignature
Solution
University DocuSign sites require login with an eID@vcu.edu email account, and limited access is granted by default to all active university students, faculty and staff.
Hospital DocuSign sites use @vcuhealth.org email accounts for login, and no access is granted by default. Customer must contact VCUHS IT through the Employee Intranet (https://intranet.vcuhealth.org/) or 804-828-6447 for all authentication issues with vcuhealth.org email addresses.
Note for Part 11: If the error is the result of attempting to authenticate to a Part 11 envelope, the sender is advised to review the DocuSign Part 11 Policy and Procedures document, section Procedures for sending envelopes, at https://vcu.rightanswers.com/portal/app/portlets/results/viewsolution.jsp?solutionid=250115084524550, and to correct the recipient's address to the eID@vcu.edu format.
Cause
Shortly after VCU claimed the vcu.edu DocuSign domain in 2017, VCUHS claimed the vcuhealth.org DocuSign domain. VCUHS has restrictions on directly logging into DocuSign using vcuhealth.org email addresses, and the VCUHS Single Sign-On will prevent unauthorized vcuhealth.org email addresses from logging into DocuSign. In order to authenticate to DocuSign using the vcuhealth.org email address, the individual will have to contact VCUHS IT through the Employee Intranet (https://intranet.vcuhealth.org/) or 804-828-6447. VCUHS IT must change the login policy for the specific user's vcuhealth.org email address to not go through the VCUHS Single Sign-On when accessing DocuSign. All vcuhealth.org authentication issues to DocuSign must be referred to VCUHS IT.
Outcome
Once VCUHS IT changes the login policy, the customer will be able to authenticate using--or request a password reset for--their vcuhealth.org email address. To avoid this occurrence, senders are advised to address all envelopes to the vcu.edu format of the recipient's email address, not to the vcuhealth.org format.
Workaround
Senders are advised to address all envelopes--where possible--to the vcu.edu format of the recipient's email address, not to the vcuhealth.org format. If the envelope is still in-process, the sender could issue a Correction and change the recipient's email address from the vcuhealth.org to the vcu.edu format.
