How to migrate from an Exchange account on your iPhone or iPad

Solution

Google is moving towards completion of a security change they planned to implement in 2020. To continue receiving emails after September 30, 2024, you will need to remove your VCU account from your device/devices and re-add it as Google instead of Microsoft Exchange. Maintaining the most recent iOS and iPadOS version, 18, assures the highest security on your device.

What do I need to do?

Account is not in a Clinical MDM Restriction

You can either add a Google account in the native iOS/iPadOS Mail (continues the same as the Exchange configuration), or you may choose to install Gmail and other Google Apps from the App Store. Using the Gmail App also provides you with Google Chat/Spaces and Meet in the app.

Configure a Google Account in native iOS/iPadOS Mail
  1. Go to your device’s Settings. Depending on age and iOS/iPadOS version, the next steps could vary.

  2. Select Passwords & Accounts or MailAccounts. For older iOS devices, select Mail, Contacts, and Calendars.

  3. Select Add Account.

  4. Select Google, then Continue.

  5. In the Email or Phone field, enter your email address (eID@vcu.edu)

  6. Select Next

  7. CAS authentication will appear. Enter your VCU eID and Password. Complete the 2-Factor Authentication via DUO.

  8. Choose which products you want to synchronize to your device.

  9. Select Save.

Use Gmail/Google Apps

Open the App Store on your device. Then, search for the Google apps you wish to install. 

  • Gmail

  • Calendar

  • Contacts

  • Drive

Once installed, sign into the apps with your vcu.edu account. Follow the prompts to sign in through CAS and 2-Factor Authentication via DUO.

Account is in a Clinical Mobile Device Management Configuration

You are in a school or department that requires Google Mobile Device Management to access your VCU Google account. As advised, when this MDM was implemented, you will need to use the Gmail app to continue to receive email after September. This provides access to Google Chat and Google Meet all within the app. If you do not wish to install the Gmail app, you may access your account using the web browser on your device. Use of the native iOS/iPadOS mail will no longer work.

Remove Exchange Configuration

Now that you’ve added a new connection to your account, you should remove the Exchange configuration. This will no longer work after September 30. 

From the Home screen, tap Settings then Passwords & Accounts or Settings then Mail then Accounts. Click on Exchange and then Delete Account next to all VCU accounts.
